How We Handle Maintenance and Hardware Retirement
The process we use for planned physical work, equipment removal, media handling, custody records, and final customer handoff.

Customer-owned hardware needs a clear boundary when work touches the machine. We perform agreed physical work in the facility; the customer keeps authority over the server, software, data, and final disposition.
Deployment-specific written instructions control the exact task. This guide explains the common handoffs.
Planned work begins with scope
Before work starts, the request identifies the server, authorized contact, permitted action, expected customer impact, stop condition, and completion check. A shutdown, cable move, component change, network interruption, or removal is not inferred from a general request to “check the server.”
After the task, the customer receives a concise record of what was done, what was observed, where work stopped, and whether another action is needed. Passwords, private keys, recovery codes, and application data do not belong in the work order.
Removal preserves owner control
Retirement begins by confirming ownership, authorization, and destination. The customer decides whether equipment will be returned, transferred, recycled, retained for an agreed period, or handled under another written disposition plan.
If a workload is moving, the old system can remain available only for the rollback period agreed by both sides. Removal follows customer acceptance of the cutover and explicit authorization for the next step.
Drives, removable media, rails, power supplies, and other customer-owned parts are accounted for with the chassis. Helixrack does not treat them as unassigned inventory.
Media work requires a separate decision
A request to remove a drive is not permission to read, sanitize, destroy, recycle, or transfer it. Any facility-side media handling requires an approved method, custody plan, verification step, charge, and final destination.
Some media or sanitization methods may be outside the work Helixrack can support and may require return to the customer or a qualified third party. Current guidance and the actual media type govern the method; a historical procedure is not a standing promise.
Close the handoff
Return shipments use the destination and carrier instructions approved by the customer. Tracking and the equipment list go to the authorized contact. Local pickup or transfer to another party requires the same identity and authorization checks.
